How posting works

From ERA file to reconciled deposit.

Most posting work is matching numbers. BillCycle does the matching and leaves the exceptions for your team.

01

Receive the ERA

835 files arrive from your clearinghouse or payers and are loaded automatically.

02

Match and post

Each payment is matched to its claim and service line. Paid amounts, contractual adjustments (CO) and patient responsibility (PR) are posted.

03

Compare to contract

The allowed amount on every line is checked against your contracted rate for that payer and code.

04

Route exceptions

Unmatched payments, denials and underpayments go to work queues. Everything else is posted with no manual touch.

Underpayment detection

See every claim paid less than your contract says.

Payers make pricing mistakes: wrong fee schedule year, missed modifier adjustments, multiple procedure reductions applied incorrectly. Small errors on high-volume codes add up. BillCycle loads your fee schedules and flags any line where the allowed amount is below the contracted amount.

Line-level variance

Example: 99214 contracted at [$ amount], allowed at [$ amount]. Variance shown in dollars and percent.

Patterns by payer

See whether a payer is underpaying one code or an entire fee schedule, so you can raise it once instead of claim by claim.

Ready to dispute

Underpaid lines go to a queue with the contract rate, the paid amount and the claim details your team needs to request reprocessing.

What gets posted

Every part of the remittance, in the right place.

An ERA carries more than a payment amount. BillCycle uses all of it.

Payments and adjustments

Paid amounts, contractual write-offs and other adjustments are posted to each service line with their group and reason codes.

Patient responsibility

Deductible (PR 1), coinsurance (PR 2) and copay (PR 3) are moved to the patient balance, ready for a statement.

Denials

Zero-pay and partially denied lines are sent to denial management with their CARC and RARC codes.

Secondary triggers

When the primary posts, the secondary claim is built and sent with the primary payment data attached.

Takebacks and recoupments

Payer recoupments and provider-level adjustments (PLB) are posted and tracked, so offsets do not hide in the deposit.

Paper EOBs and patient payments

Payments from paper EOBs, checks and lockbox files can be posted in the same screens.

Reconciliation

Make sure what was posted matches what hit the bank.

Posting is only finished when the deposit balances.

  • ERA totals matched to EFT deposits
  • Check and EFT trace numbers recorded
  • Unmatched ERAs and deposits flagged
  • Daily and monthly posting batches
  • Posting audit trail by user
  • Exports for your accounting system

FAQ

Payment posting questions

How much posting is automatic?

Clean ERA lines that match a claim and pay as expected are posted with no manual step. Exceptions, like unmatched payments or underpayments, go to a queue for review. [Confirm auto-post rate before publishing any number.]

How do you know our contracted rates?

You load your payer fee schedules into BillCycle during setup. Rates can be updated whenever a contract changes.

What counts as an underpayment?

Any line where the payer’s allowed amount is below your contracted amount for that code, after expected adjustments. You can set a minimum variance so tiny rounding differences are ignored.

Can we post paper EOBs?

Yes. Paper EOBs and patient checks are posted manually in the same workflow, with the same audit trail.

How are recoupments handled?

Provider-level adjustments in the 835 are posted against the original claim when it can be identified, and shown on reconciliation reports so the deposit still balances.
