Integrations
Your EHR stays. Your billing gets better.
BillCycle connects to the EHR, EMR or PMS you already use. Charges flow in, claims go out, payments come back. Your providers keep charting the way they do today.
- API, HL7 and file feed options
- Clearinghouse and ERA connections included
- No change to clinical workflows
How we connect
Five ways data moves in and out of BillCycle
We pick the connection method that fits your system. Most practices use more than one.
API
Where your EHR or PMS offers an API, BillCycle pulls charges and demographics on a schedule or as they are signed. This is the fastest and cleanest option.
HL7 interfaces
BillCycle accepts standard HL7 messages for charges (DFT) and patient data (ADT). Common for systems that already send HL7 to other vendors.
File feeds
If your system can export a file, we can work with it. Scheduled SFTP drops in CSV, flat file or 837 format are mapped once and then run automatically.
Clearinghouse
Claims go out as 837 files through a connected clearinghouse. Acknowledgments, rejections and claim status come back into BillCycle work queues.
Payments
ERA 835 files post into BillCycle automatically. Patient payments made online or in the office land on the right account without manual entry.
Data in
What BillCycle receives from your EHR
BillCycle only takes what it needs to bill. Clinical notes and charts stay in your EHR.
Charges
CPT and HCPCS codes, modifiers, units, ICD-10 diagnosis codes, date of service, rendering and billing provider.
Patient demographics
Name, date of birth, address, guarantor and contact details needed for claims and statements.
Insurance details
Payer, plan, member ID and coverage order, so claims go to the right payer the first time.
Encounter context
Location, place of service and referring provider where the payer requires it.
| CPT | Mod | ICD-10 | Units | Charge |
|---|---|---|---|---|
| 99214 | missing | E11.9 | 1 | $165.00 |
| 93000 | I10 | 1 | $48.00 | |
| 36415 | E11.9 | 1 | $12.00 |
Data out
What goes back to your EHR and your team
Your front desk and providers can see billing status without logging into a second system, where your EHR supports it.
Claim and payment status
Paid, denied or pending status can be sent back to your EHR or PMS where an inbound interface is available.
Patient balances
Current patient responsibility can be shared so staff can collect at check-in.
Charge corrections
When a claim needs a coding or documentation fix, BillCycle flags it for the right person with the reason.
Setup
How we connect your system, step by step
Our team handles the technical work. Your team answers a few questions and reviews test results.
01
Discovery call
We confirm your EHR or PMS, its version, and which connection options it supports. We also list your payers and clearinghouse.
02
Connection and mapping
We set up the API, HL7 interface or file feed and map your providers, locations, fee schedules and payers into BillCycle.
03
Test with real data
We run test charges through BillCycle and compare them against your current claims. Your team signs off before anything goes live.
04
Go live
Live charges start flowing into BillCycle. We monitor the feed daily for the first [X] weeks and fix any mapping gaps.

Don’t see your system?
Ask us. Most systems can connect.
If your EHR, EMR or PMS can export charges in any format, there is very likely a way to connect it.
Tell us what you use
Send us your system name and version. We will confirm which connection options are available.
We review it with your vendor
Where needed, we work with your EHR vendor to enable an API, interface or export on your account.
You get a clear answer
We tell you how the connection will work, what it takes, and any vendor fees, before you commit.
FAQ
Integration questions
Do we have to replace our EHR to use BillCycle?
No. BillCycle is a billing system only. Your providers keep charting, scheduling and registering patients in the system you use today.
Will our EHR vendor charge for the interface?
Some EHR vendors charge for API access or HL7 interfaces. We confirm this with you during discovery so there are no surprises. [Confirm whether BillCycle covers any vendor fees.]
What if our system only supports file exports?
That works. We set up a scheduled file feed over SFTP and map the fields once. After that, charges import automatically.
Which clearinghouse does BillCycle use?
BillCycle connects to [Confirmed clearinghouse]. If you have an existing clearinghouse relationship, ask us about keeping it.
Is patient data secure during transfer?
Yes. All data is encrypted in transit and at rest, access is role-based, and every action is logged in a full audit trail. BillCycle is HIPAA compliant.
How long does it take to connect?
Most connections are live in [X] weeks. The timeline depends on your system and how quickly any vendor-side setup is completed.
