Platform / Platform Overview
The BillCycle platform
One billing system that works with the EHR you have
BillCycle takes charges from your EHR and carries them through claims, denials, payments and patient statements. Your providers keep charting where they chart today. Your billing team gets a system built only for getting paid.
- Connects to any EHR, EMR or PMS
- AI checks every claim before it goes out
- No change to how your providers chart
What the platform covers
Every billing step from charge to deposit
Six connected modules share the same claim record, so nothing gets retyped and nothing falls between systems.
Charge Import and Claim Scrubbing
Charges arrive from your EHR automatically. BillCycle checks codes, modifiers, payer rules and patient data before a claim is built.
Claims Management
Submit clean claims, track every status change and see which claims are stuck and why, without logging in to payer portals one by one.
Denial Management
Denials are grouped by root cause and routed to the right person with a suggested fix and a drafted appeal.
AR Management
Open balances are ranked by dollar value and timely filing risk, so your team works the money that matters first.
Payment Posting
ERAs post automatically. Payments below your contracted rate are flagged for review instead of being accepted as final.
Patient Billing
Clear statements go out on schedule and patients can pay online. Balances update the moment a payment comes in.
Keep your EHR
Connects to your current system. No rip and replace.
BillCycle is a billing system only. It does not schedule patients or hold clinical notes. That is why it can sit next to the EHR you already use instead of asking you to replace it.
API, HL7 or file feeds
We connect the way your EHR supports. Charges, demographics and insurance data flow in without manual entry.
Your providers notice nothing
Charting, scheduling and patient intake stay exactly where they are today.
Proven connections
BillCycle is live with [Confirmed EHR], [Confirmed EHR] and [Confirmed EHR], plus custom feeds for other systems.
AI inside the workflow
AI handles the checks. Your billers make the calls.
AI in BillCycle works on the claim in front of your team, not in a separate report. It flags problems early and does the first draft of tedious work. A person approves every action that goes to a payer or a patient.
Denials predicted before submission
Each claim gets a risk check with the likely denial reason and the fix.
Appeals drafted for review
BillCycle writes the first version of an appeal letter. Your biller edits and sends it.
AR ranked by value and deadline
Work queues put high-dollar and near-deadline claims at the top.
Why a dedicated billing system
Built for billing, not added on to charting
Billing built into an EHR is usually an add-on to a system designed for clinical work. Here is what changes when billing has its own platform.
| Billing built into your EHR | BillCycle | |
|---|---|---|
| Main focus | Clinical charting | Getting claims paid |
| Switching cost | Replace your whole system | Keep your EHR, add billing |
| Claim checks | Basic edits at submission | AI risk check with reason and fix |
| Denial follow-up | Manual sorting and lookups | Grouped by root cause, appeal drafted |
| Underpayments | Often posted without review | Flagged against contracted rates |
| AR work order | Sorted by age | Ranked by value and filing deadline |
Who uses BillCycle

FAQ
Questions about the platform
Do we have to replace our EHR to use BillCycle?
No. BillCycle is a billing system only. It connects to your current EHR, EMR or practice management system and takes over the billing work. Your providers keep charting and scheduling where they do today.
What does BillCycle not do?
It does not handle scheduling, patient registration or clinical documentation. Those stay in your EHR. BillCycle starts when a charge is ready to bill and ends when the balance is paid.
How does BillCycle get our charges?
Through an API, an HL7 interface or a scheduled file feed, depending on what your EHR supports. We set up and test the connection during onboarding.
Does the AI submit claims or appeals on its own?
No. AI flags risks, suggests fixes and drafts appeal letters. Your billers review and approve anything that goes to a payer or a patient.
Can a billing company use BillCycle for several clients?
Yes. Each client practice has its own data, payer rules and reports, and your team can move between clients from one login.
Is BillCycle HIPAA compliant?
Yes. Data is encrypted in transit and at rest, access is limited by role, and every action is recorded in an audit trail. See our Security and Compliance page for details.
