Accurate balances
Bill patients once, for the right amount.
Many patient complaints start with a statement sent too early. BillCycle waits until the primary and any secondary payers have processed the claim, then bills only the patient responsibility shown on the remittance.
Built from the ERA
Deductible, coinsurance and copay amounts come directly from the payer’s patient responsibility codes.
Held while insurance is pending
Balances with an open secondary claim or appeal are held so the patient is not billed for something insurance may still pay.
Copays applied
Payments collected at the front desk are applied before the statement goes out. [Confirm how time-of-service payments flow in from the EHR or PMS.]
Clear statements
A statement that answers the patient's questions first.
Fewer confused calls to your office means more time for billing work.
Plain language
Each visit shows what was billed, what insurance paid and what the patient owes, with the reason, like “applied to your deductible”.
Paper, email or text
Patients get statements the way they prefer. Paper statements are printed and mailed for you [mail vendor to confirm].
Your practice branding

What payment methods are accepted?
Credit and debit cards, HSA and FSA cards, and bank account payments. [Confirm payment processor and ACH support.]
Is the payment page secure?
Yes. Payment details are handled by a PCI-compliant processor and are never stored in your practice’s systems. [Processor name and PCI scope to confirm.]
Can patients set up payment plans themselves?
Your practice sets the rules, such as minimum monthly amount and maximum length. Staff can create plans, and [confirm whether patients can self-enroll online].
Does BillCycle send accounts to collections?
No. BillCycle flags unpaid balances and can export accounts for your chosen agency, but your team makes every referral decision.
